If you would like to create an RFP that is customized for a specific Client or a specific type or industry, we suggest creating an RFP Template. Once you create this template, you can use it over and over again by choosing Copy RFP. When creating the template, follow the same RFP creation steps as normal.
1. Add the start and end dates. These dates should be in the future. (i.e. 5 to 10 years out.)
2. Add the word “Template” in the Event Name in Event Details.
i.e. Demo Corporation – Template
3. Choose the Event Type and add a fictitious In-Person Attendees number. You could use 1 or 100. This will be edited each time you Copy the RFP Template.
4. Click Next.
5. Enter the Meeting Requirements. Meeting Room Requirements/Agenda may be similar for this particular client that you would want to save for all RFPs.
6. Click Next.
7. In Guest Room Requirements, complete items that you want to keep the same for each New RFP created using this Template.
8. Click Next.
9. In Contact Details and Host Information, complete items that you want to keep the same for each New RFP created using this Template.
10. Click Next.
11. Enter the Response Due Date and Decision Date far out in the future. i.e. 5 or 6 years in the future. This will eliminate the system generated “alerts” from popping up asking for an update on the RFP dates.
12. Click Next.
13. Choose the Proposal Preferences for this particular Client's RFP Template.
14. Click Next.
15. Skip Custom Questions - Click Save and Continue>>
NOTE: Once the RFP is created, go back into the RFP and Edit the Custom Questions. This will give you the opportunity to move, delete, edit and add. In your Custom Questions library you may have specific questions setup for this particular Client or type of RFP. Custom Questions Help Articles
16. Finally, consider listing your concessions, contractual requirements, and billing information in the appropriate boxes. Add a Client's specific Addenda or other pertinent documents.
17. Once you're done, click Save.
